Loops

Three loops, each with a person in it.

Illustrative: these are example loops drawn to show how the work moves, not records of a client project.

Enquiry triage

New enquiries sorted and drafted; a person decides what is sent.

Illustration of enquiry triage: envelopes pour into a funnel and leave through three tagged chutes, with an amber-lit stamp where a person approves each reply.
  1. Trigger An enquiry arrives by email or through the web form.
  2. Agent The agent reads it, tags the topic and urgency, and drafts a reply from your own notes.
  3. Check A person reads the draft, edits it if needed, and decides whether it goes.
  4. Action The reply is sent and the enquiry is logged in your CRM.

Support ticket drafting

Answers drafted from your help articles; a person checks them before they go.

Illustration of support ticket drafting: a card pulled from a card catalogue is pinned to a ticket under an amber lamp, where a person checks the answer and its sources.
  1. Trigger A customer opens a support ticket.
  2. Agent The agent finds the help articles and past tickets that apply and drafts an answer that cites them.
  3. Check A support agent checks the answer and its sources before it goes out.
  4. Action The answer is sent, and any gap in the help articles is noted for your team.
